PREAMBLE
This Code of Conduct outlines the rules and guidelines governing the behavior of all participants at Terra International MUN, which is organized by AR For Earth, the world’s first sustainable MUN initiative. This Code of Conduct is legally non-binding but essential to maintaining the integrity, safety, and professionalism of the event. By registering for or participating in Terra International MUN, all individuals agree to adhere to the rules outlined herein.
Section I: General Provisions
Clause 1: This Code of Conduct applies to all individuals participating in the Terra International MUN conference, including but not limited to, delegates, Executive Board members, the Organizing Committee, sponsors, volunteers, and staff.
Clause 2: All participants are expected to adhere to the highest ethical and professional standards, uphold respect and decorum, and act in accordance with the principles of Terra International MUN and AR For Earth.
Clause 3: Any violations of this Code of Conduct may result in disciplinary actions, including but not limited to expulsion from the conference, withholding of remuneration, and legal action if applicable.
Clause 4: The Code of Conduct remains effective throughout the duration of the conference, including official social events, training sessions, and other related functions.
Section II: Discrimination, Harassment, and Offensive Behavior
Clause 1: Terra International MUN maintains a zero-tolerance policy on discrimination and harassment of any kind, including but not limited to, actions or language based on race, gender, age, sexual orientation, religion, nationality, ethnicity, or disability.
Clause 2: Sexual harassment, in any form, including unwelcome sexual advances, inappropriate physical contact, or derogatory sexual comments, is strictly prohibited.
Clause 3: Participants must refrain from using offensive language, gestures, or imagery that could harm the dignity or integrity of other participants. Such behavior is subject to immediate disciplinary action.
Clause 4: Participants who believe they have experienced or witnessed harassment or discrimination must report the incident to the organizing team immediately. Confidentiality will be maintained.
Section III: Alcohol, Smoking, and Drug-Free Policy
Clause 1: Consumption of alcohol is strictly prohibited within the premises of the conference, including the venue, accommodation facilities, and any associated events unless explicitly stated otherwise for an official reception where alcohol may be served in moderation.
Clause 2: Smoking, including the use of e-cigarettes, vaping devices, or any tobacco products, is prohibited within all indoor and outdoor areas of the conference venue and accommodation facilities.
Clause 3: The use, possession, or distribution of illegal drugs or substances is strictly prohibited. Any violation of this clause will result in immediate expulsion from the conference and may lead to legal consequences.
Clause 4: Participants found in violation of this policy will be required to leave the conference premises immediately without the possibility of re-entry. In such cases, no refunds will be issued, and the participant will be responsible for any additional costs.
Section IV: Sustainable Practices and Environmental Responsibility
Clause 1: Terra International MUN is committed to sustainability, and all participants must support this commitment by minimizing their environmental footprint during the event.
Clause 2: Single-use plastics are not permitted. Participants are encouraged to bring reusable water bottles, cutlery, and other eco-friendly materials.
Clause 3: Paper usage should be minimized. All documents, including position papers and draft resolutions, should be submitted digitally unless specifically required to be in print.
Clause 4: Waste management practices must be followed, including the use of recycling bins, proper disposal of food waste, and adherence to the event’s composting policy.
Clause 5: Energy conservation efforts, such as turning off lights and electronic devices when not in use, must be practiced by all participants.
Section V: Punctuality, Attendance, and Dress Code
Clause 1: Participants must adhere to the conference schedule and attend all sessions on time. Repeated tardiness will result in disciplinary action, including but not limited to exclusion from committee awards or, in the case of Executive Board members, remuneration deductions.
Clause 2: All participants must be present for the duration of their committee sessions, social events, and any training or preparatory activities required by the organizers.
Clause 3: Business attire is mandatory for all formal sessions. Casual attire is permitted during informal social events, but participants are expected to maintain decorum.
Clause 4: National attire worn as part of cultural representation should be respectful and not contain any political or provocative elements.
Section VI: Conference Conduct and Committee Sessions
Clause 1: Delegates must respect the parliamentary procedure and follow the rules of debate at all times. Disruptive behavior, including interruptions during speeches or unprofessional language, will result in warnings or expulsion from the session.
Clause 2: Collaboration and diplomatic engagement are at the heart of Terra International MUN. Delegates must maintain a respectful attitude towards other participants, committee chairs, and the Executive Board at all times.
Clause 3: Plagiarism or any form of intellectual dishonesty in position papers, draft resolutions, or speeches will result in disqualification from committee awards.
Clause 4: Executive Board members must act impartially and adhere to the highest standards of fairness in committee proceedings. Any display of bias or favoritism is unacceptable.
Clause 5: In the event of disruptive behavior by a delegate or observer, the Chairperson or President has the authority to issue verbal warnings. If the behavior continues, the participant may be removed from the session.
Section VII: Social Media and Digital Conduct
Clause 1: Cyberbullying, harassment, or the posting of offensive comments on any digital platform related to Terra International MUN (including social media channels, messaging apps, and emails) is strictly prohibited. Any participant found engaging in such behavior will face disciplinary action.
Clause 2: The sharing or distribution of inappropriate content, including offensive images, videos, or messages through any means of digital communication, is strictly forbidden. Violators will be subject to immediate expulsion from the conference.
Clause 3: Unauthorized recording or streaming of committee sessions or private meetings is prohibited. All participants must obtain explicit permission from the Organizing Committee before recording or sharing any part of the conference.
Clause 4: Privacy of delegates, chairs, and staff must be respected. Sharing of private communications (e.g., private messages, emails) without consent is prohibited.
Clause 5: Participants are encouraged to use social media to promote Terra International MUN’s mission and share their experience positively. However, all posts must reflect the professional standards of the conference and must not include defamatory remarks or misleading information.
Clause 6: Digital communications between delegates and Executive Board members must remain professional and adhere to the values of Terra International MUN. Inappropriate language or unprofessional conduct through digital platforms will be dealt with seriously.
Section VIII: Property and Venue Regulations
Clause 1: All participants are required to treat the venue, accommodation, and other conference-related properties with respect and care. Any form of vandalism, theft, or property damage will result in expulsion from the conference and may also lead to legal consequences.
Clause 2: Participants are expected to use the facilities provided responsibly, and they are personally liable for any damages caused intentionally or through negligence. This includes any damage to conference equipment, furniture, or technology.
Clause 3: Participants are expected to follow any specific venue rules provided by the Terra International MUN organizing team or the venue’s management. This includes fire safety regulations, access restrictions, and facility operating hours.
Clause 4: Unauthorized access to restricted areas of the venue or attempting to disrupt venue operations will be grounds for immediate removal from the event.
Section IX: Reporting of Incidents
Clause 1: Any participant who experiences or witnesses behavior that violates this Code of Conduct is encouraged to report the incident immediately to the Organizing Committee, designated Ethics Officer, or the Conference Lead.
Clause 2: Reports should include a clear description of the incident, the parties involved, and any supporting evidence. Confidentiality will be maintained to the fullest extent possible, and all reports will be handled swiftly and thoroughly.
Clause 3: The Terra International MUN team will take all necessary steps to ensure that reported incidents are investigated promptly. If required, corrective measures will be taken, which may include warnings, suspension from participation, or expulsion from the event.
Section X: Disciplinary Actions
Clause 1: Disciplinary actions for violations of this Code of Conduct will be determined by the Terra International MUN Disciplinary Committee and may include the following:
• Verbal or written warnings to the participant.
• Expulsion from the conference without refund or compensation.
• Exclusion from awards or recognition at the conclusion of the event.
• Barring from participation in future editions of Terra International MUN or any events organized by AR For Earth.
Clause 2: In severe cases, or where a violation involves unlawful conduct, Terra International MUN may take further steps, including notifying relevant authorities and initiating legal proceedings.
Clause 3: Participants who have been subject to disciplinary action will be informed of the decision and have the right to submit an appeal to the Conference Secretariat within 24 hours of the decision being communicated. Appeals must provide clear reasons and evidence for reconsideration.
Section XI: Liability
Clause 1: Terra International MUN, AR For Earth, and its affiliated staff shall not be held liable for any personal injury, loss, or damage to personal property incurred by participants during the event.
Clause 2: Participants are advised to ensure they have appropriate travel insurance and take necessary precautions to protect their personal belongings while attending the conference.
Clause 3: Terra International MUN and AR For Earth are not responsible for any disputes between participants that occur outside of the event premises unless they directly affect the safety and integrity of the conference.
Section XII: Amendments and Updates
Clause 1: The Terra International MUN Organizing Committee reserves the right to update or amend this Code of Conduct at any time before or during the event.
Clause 2: Any significant changes to the Code of Conduct will be communicated to all participants in a timely manner, and participants will be required to comply with the updated provisions.
Section XIII: Governing Law and Jurisdiction
Clause 1: This Code of Conduct and any disputes arising from its enforcement shall be governed by the laws of the Republic of India, under whose jurisdiction Terra International MUN is registered.
Clause 2: Any legal actions or disputes arising from violations of this Code of Conduct will be subject to the courts of Hyderabad, India, and participants agree to submit to this jurisdiction.
By attending Terra International MUN, all participants acknowledge and accept the provisions of this Code of Conduct. It is essential to maintaining the values of diplomacy, sustainability, and professionalism central to the mission of Terra International MUN and AR For Earth.
